Notice of market dialogue for the procurement Print as a service for Vestfold fylkeskommune and Telemark Fylkeskommune. Goal: Give the contracting authority a realistic picture of the market for these types of services. Contribute to the contracting authority making the best possible announcement of the competition. Content: We would like tenderers to present themselves and their product as well as answer some questions we have prepared in advance. Dialogue in the process. The objective of the market dialogue Vestfold fylkeskommune and Telemark fylkeskommune plan to hold a competition for the delivery of "print as a service" ("print as a service") which includes a future orientated, user friendly and secure system for production of print, copy and scanning. The system shall safeguard all administrative processes connected to managing the product area. Multifunction machines means machines that primarily have the possibility of the following functions: copies, printers, scanners. The options are described in the needs description. Definition of the service: The tenderer takes total responsibility for the entire system chain, including servers, printers, maintenance and service operation for all VFK ́s locations, also referred to as Print-As-A-Service. The service shall offer secure printing and scanning with follow-me functionality based on employee and student cards. Daily maintenance such as refills of paper, replacement of toners and jams are handled by local service desks at the location. The contracting authority plans to replace everything, both the machines and the "Follow you" system in summer 2025. Vestfold county currently has 180 multi-function machines 22 locations 1800 employees 10,000 students All users are located in Entra ID The system shall fully support Single SignOn with OpenID Connect and OAuth 2.0 (https://openid.net/connect/) or SAML 2.0 as the authentication and authorisation protocol. We use Microsoft Entra ID as the primary authentication mechanism in Vestfold. Practical information about the market dialogue Suppliers are invited to present their systems and systems in one-to-one Teams meetings with a duration of 1.5 hours. The time for these meetings will be agreed with each individual tenderer after the registration deadline. Implementation of the market dialogue. The dialogue meetings will be held 6 and 7. March. Registered tenderers will be sent meeting links in advance. The tenderers will have an equal time, 1.5 hours, for presentation of their systems. We will send out the agenda, together with the meeting time at the latest Friday 28.02.25. All tenderers will get the same agenda. Registration Deadline for registration: 26.02.25, 15:00. Please state the company name, name and email address of participants to the market dialogue upon registration. Suppliers will then receive one meeting invitation by email. Tenderers must cover all their costs themselves. Use of information and confidentiality Information that has been presented in the market dialogue will be used in the further work on designing a requirement specification. The contracting authority is obliged to prevent others from accessing or knowledge of information about technical devices, procedures or operational and business secrets that would be of competitive importance to secrecy, cf. The Public Administration Act § 13 and the Public Administration Act § 13.
