Multi-function machines and secure printing

The Contracting Authority shall enter into a contract with one tenderer who shall cover the Contracting Authority's need for Multi-function machines, printers and scanners etc. In the following, machines are used. as a generic term. The contracting authority intends to establish a comprehensive national system for secure printing and Scanning. A contract shall be signed for the hire of machines, as well as the best possible cost efficient service delivery for secure printing and scanning. The service must function built-in (embedded) and seamlessly on all multi-function machines, but there is also would like to include some single function machines in the service, if there are possibilities for it. Currently there are approx. 1,700 machines, which are currently used in the existing system for "Secure printout and scanning". The machines are mainly delivered on the existing contract with Canon, whilst the "Secure Print and Scan" system, based on YSoft SafeQ, is run in the Contracting Authority ́s computer centre and delivered by Konica Minolta. The current machines are mainly procured on leasing contracts for a duration of 3 or 4 years. The leasing contracts are signed at different times and expire at different times. The latest machines are leased in 2023 and have an expiry date in 2026, but most will have previously expired agreements. Detailed overview of the current leased machines with expiration date, is in separate annex 2. The contracting authority ́s entities are financially responsible, undertake orders and make contracts. about servicing with a service provider. Based on security conditions and access control, local contact persons must assist and coordinate the receipt of deliveries and possible visits by technicians and other service personnel.
