EN: Renewal of the scopeArchiv archival information system (by upgrade to the latest version) for the Budapest City Archives. Budapest City Archives (hereinafter: Contracting Authority) as a member of a consortium (the other members of which were Kopint-Datorg, today NISz Zrt., and the National Archives of Hungary) has implemented an integrated Electronic Archives System in 2013. The scopeArchiv as Archival Information System (hereinafter: AIS) was also introduced at the institution of the Contracting Authority as a component of this integrated system. ScopeArchiv was updated to its then-current 5.2 version as part of the upgrade of the Electronic Archives System between 2017 and 2020. However, this version is only compatible with the Oracle12c database management system, which is no longer supported. Therefore, the upgrade of the AIS to the current scopeArchiv 5.4 version is particularly necessary. The new AIS can only be the latest version of scopeArchiv. One of the main reasons for this is that currently all the legally (in Act LXVI of 1995, and the 27/2015 (V. 27.) EMMI decree of the Ministry of Human Capacities) prescribed archival registries (including the archival registry of fonds and subfonds, the container registry, the logbooks, the registry of record generating organs, and the administration of researchers and research requests), as well as numerous additional archival databases, are kept in this system (since 2014, data have been entered directly into this system, and most of the earlier data was migrated into it). The migration of all this data into a system based on a different logic would require significant time and work and would carry a risk of data loss that is difficult to assess. Another main argument in favour of scopeArchiv is that the Contracting Authority intends to maintain the possibility of integration with the Digital Archives Portal (which operates as part of the integrated Electronic Archives System). This integration, which ensures the possibility of common search in the collections of the two general public archives of the country, and allows researchers to register and submit requests online to these archives via a common interface, was designed to connect the portal with the scopeArchiv software used in the two archives. Key quantitative data: Procurement of the following scopeArchiv modules for the Contracting Authority, in case of the production system for the number of users specified for each module below: - Units of Description (30 users) - Partners (25 users) - Dossiers + Documents (25 users) - Accessions (5 users) - Loans (30 users) Procurement of the following modules (for which the number of their users does not have to be specified) for the Contracting Authority for both the production and test systems: • System Administration (suitable for the above given number of module users) • Transfer Assistant • Query • Query FilePublisher • Order Manager Instead of product/model/trademark included In the notice or/and in the technical specifications is acceptable also the equivalent method/ technique. Continuation in the box BT-300. ------------------------------------------------------------------------------ HU: A scopeArchiv levéltári nyilvántartó rendszer megújítása (legújabb verzióra való áttéréssel) a Budapest Főváros Levéltára részére. Budapest Főváros Levéltára (a továbbiakban: Ajánlatkérő) 2013-ban egy konzorcium tagjaként – amelynek a Kopint-Datorg (ma NISz Zrt.) és a Magyar Országos Levéltár (ma Magyar Nemzeti Levéltár) voltak még a tagjai – egy integrált elektronikus levéltári rendszert szerzett be. Ennek egyik komponenseként került bevezetésre Ajánlatkérő intézményében is a scopeArchiv, mint Levéltári Nyilvántartó Rendszer (a továbbiakban LNYR). Az integrált elektronikus levéltári rendszer upgrade-jének részeként 2017–2020 között a scopeArchiv is frissítve lett az akkor aktuális 5.2-es verziójára. Ez a verzió azonban csak a már nem támogatott Oracle12c adatbázis-kezelővel kompatibilis, ezért különösen szükséges az LNYR újabb frissítése, a kurrens 5.4-es scopeArchiv verzióra. Az új LNYR csak a scopeArchiv legújabb verziója lehet. Ennek egyik fő oka az, hogy jelenleg valamennyi, jogszabályokban (1995. évi LXVI. törvény, illetve 27/2015 (V. 27.) EMMI rendelet) előírt levéltári nyilvántartást (törzskönyvi nyilvántartás, raktári nyilvántartás, naplók, szervnyilvántartás, kutatói nyilvántartások), valamint számos további levéltári adatbázist ebben a rendszerben vezetünk és tárolunk (2014-től közvetlenül ide kerültek az adatok, a korábbiak jelentős része pedig migráció révén került be), és ezek más logikájú rendszerbe való migrációja jelentős idő- és munkaigénnyel, valamint nehezen felmérhető adatvesztési kockázattal járna. A másik fő érv a scopeArchiv mellett, hogy Ajánlatkérő fenn kívánja tartani az integrált elektronikus levéltári rendszer részeként működő Elektronikus Levéltári Portállal való, a scopeArchiv szoftverre kiépített integráció lehetőségét, mert ez biztosítja a közös keresést az ország két általános levéltárának anyagában, illetve a kutatók számára a közös felületen történő online beiratkozást és kérésleadást. Főbb mennyiségi adatok: A scopeArchiv alábbi moduljainak beszerzése Ajánlatkérő számára, modulonként az alább megadott felhasználószámmal az éles rendszerben: - Leírási egységek (30 felhasználó) - Partnerek (25 felhasználó) - Dossziék + Dokumentumok (25 felhasználó) - Gyarapodások (5 felhasználó) - Kérések (30 felhasználó) Emellett az alábbi, nem felhasználószámhoz kötött modulok beszerzése Ajánlatkérő számára az éles és a tesztrendszerben: • System Administration (a fenti felhasználószámokkal összhangban) • Transfer Assistant • Query • Query FilePublisher • Order Manager A felhívásban és/vagy a műszaki leírásban szereplő gyártmány/típus/védjegy helyett az azokkal egyenértékű megoldás is elfogadható.
